03. CRM Mastery

The heart of the machine: Contacts, Smart Lists, and Bulk Actions.

More Than Just an Address Book

At the center of HighLevel is the CRM (Customer Relationship Management). Every email sent, form filled, or appointment booked creates or updates a contact record here.

Understanding Tags

Tags are the most important organizational tool. You don't have "Lists" like MailChimp; you have one big list of people with different tags.
Examples: "Lead", "Customer", "Booked Call", "VIP".

Smart Lists

Smart Lists are saved filters. They are dynamic. If you create a smart list for "Tag is VIP" AND "Last Appointment was > 30 days ago", the list automatically updates every day with people fitting that criteria. This is powerful for reactivation campaigns.

Bulk Actions

From the Contacts view, you can select multiple people and perform "Bulk Actions":

Pro Tip

Always use "Drip Mode" for large SMS blasts to avoid getting flagged by carriers as spam.
